File versioning records every change to a personnel file with user identification and timestamp for audit-readiness. All data is encrypted with AES-256 and stored exclusively in German data centers. Application documents, CVs, references and selection records are stored in personalized applicant folders; granular permission management separates access by HR recruiting, hiring manager and external recruitment agency. HR departments use SecureSign to sign employment contracts with advanced (AES) or qualified electronic signatures (QES), legally valid under §126a German Civil Code (BGB). Fixed-term employment contracts and contracts for which German law mandates the written form require a QES; standard open-ended contracts without a written-form requirement can also be signed with AES. SecureSign is eIDAS-compliant under Regulation (EU) No 910/2014; QES-signed employment contracts are recognized as legally valid EU-wide. Authentication of applicants runs via multi-factor authentication (MFA); a SecureCloud account on the applicant side is not required. All contracts are encrypted with AES-256 and stored in German data centers.
SecureCloud provides employee portals where employees access their payslips, references, employment contracts, performance reports and other personnel documents on a self-service basis. Granular permission management ensures that every employee sees only their own documents; HR departments retain central oversight. Self-service relieves the HR department from routine requests ("Where can I find my payslip from July?"). Audit logs record every employee access for audit-readiness. Granular permission management separates access to personnel files by HR function, employee self-access and management; an audit-ready log records every processing event. The specific §26 BDSG conformity assessment in each case rests with the company's data protection officer. HR departments legally close employment contracts with applicants using qualified electronic signatures (QES) before the first day of work by preparing the draft contract in SecureSign, placing signature fields by drag-and-drop and sending the document to the applicants. Applicants authenticate via multi-factor authentication (MFA) and, where required, via remote or one-time certificates from a qualified trust service provider; a SecureCloud registration is not required. The QES meets §126a German Civil Code (BGB) and is legally valid EU-wide under the eIDAS Regulation (EU) No 910/2014. Postal dispatch and return are eliminated; the signed contract lands directly in the digital personnel file.
HR departments document performance reviews, feedback discussions, interim and final references across the entire employee lifecycle in the digital personnel file on SecureCloud in an audit-ready way. Every employee receives their own structured file with versioning of every document and an audit-ready log. Granular permission management separates access by head of HR, line manager, employee self-access and external tax advisor. At employee exit, the file is archived for statutory retention periods in an audit-ready way; the employee's own access right ends.
